In 2008 the operator of a busy bus line and transport company was struggling to manage the geographic divisions of their organizational structure. Using Microsoft Dynamics GP the company had found that in efforts to maintain organizational securities between their departments they had to set-up separate company databases within Microsoft Dynamics GP. With eight divisions, this was creating a time consuming situation for the accounting department.
Signing In and Out
Although departments would need to be separated for reporting and to ensure security access, the primary processing of transactions were all done by one location. Every time updates had to be made by the accounting department, they had to sign in and out of the different databases to enter transactions and to run reports. This lead to commonly having three computer screens with different log-in accessed just to keep down the one to two minutes it took to log out and then log in. Additionally coding errors across departments were a common problem for new accounts being entered.
Intercompany Processing
Because many of the divisions shared resources, the need for intercompany process was important. Within the current set-up the existing intercompany products they were using did not facilitate these transactions automatically and a good amount of time was put into maintaining these processes each week.
When this transportation company came across the Multi-Facility Processing solution at convergence in the spring of 2008, they were ecstatic. For the first time they saw a very simple structural solution to a problem they thought they would just have to live with. The Multi-Facility Processing offered them a true multi-entity structure that would allow them to securely operate all of their departments within one company database.
Strong, but Flexible Security
With a strong security layer to ensure the divisional boundaries were respected, the Multi-Facility Processing could provide the needed security. Users would be assigned to certain facilities and within these facilities they could process transactions, access information and reports. Within the facility structure master accounts could be shared, allowing common vendors to be accessed by more than one facility or department. This would ensure consistent coding of these accounts across the company.
Streamlined Transaction Processing
The Multi-Facility Processing product would significantly streamline the transportation company’s transaction processing. By holding all of the company’s information in one company database no more signing in and out of databases would be required. One instance of Microsoft Dynamics GP would be the one place to enter all transactions. So long as users had the correct facility access, they could enter information into many entities during one sign-in.

Multi-Facility Processing also offered the transportation company automated intercompany processing. For basic due-tos and due-froms, the system would handle much of the intermediate processing and tracking. In addition, by having everything in one system coding errors for vendor accounts was entirely avoided.
