Securities Commission Speeds up their Employee & Vendor EFT Payment Communications
In 2006 this Securities Commission was upgrading their accounting system to Microsoft Dynamics GP with the EFT for payables module in efforts to streamline their accounting system and provide a convenient way to pay employee reimbursements and vendor invoices. Finding that the EFT module could only email one EFT remittance at a time, they utilized Binary Stream’s eMailer Manager add-on to quickly mass process EFT remittance reports to their EFT recipients.
Communicating EFT Payments Efficiently & Effectively
Over the years this Securities Commission has played an integral role in governing securities markets within the region it works. In 2006, they were upgrading their accounting system and moving to a Microsoft Dynamics GP system with the EFT module to handle their employee trip reimbursements and general vendor relations. Previously the commission had paid all of their employee trip expenses and many of their vendors by cutting checks manually. This had allowed the receiving party to know immediately who was paying them, when they had received payment and why exactly they were being paid; whether this was for a specific trip or related to a specific invoice. Within the new EFT system this information was not going to be available and given the quantity of payments being processed, one on one communications would be highly time consuming.
A solution to ensure Quality Communication
With the goal of ensuring high levels of communications with staff and stakeholders, the securities commission contacted their VAR and found Binary Stream’s eMailer Manager. Through the eMailer Manager’s EFT remittance reporting functionality their Accounts Payables confirmations or EFT remittance reports could be sent to each individual EFT recipient in one quick email batch.
Ease of Use
The eMailer Manager worked in a simple way extending off Microsoft Dynamics GP’s generate EFT files window. After the user had selected the checkbook IDs and batched them for processing all they had to do was hit the create EFT Remittance Report button and select all or some of the EFT payments to be sent.
Automatic Filing and Printing
Once sent, all of the EFT Remittance Reports would automatically be filed as PDFs to a chosen location as well as printed for their physical files. After all of this was done the EFT transfers would be processed.
The Benefits for the Commission
Since employee and vendor payments equated to well over twenty payments a week, the time being spent on this activity would be greatly reduced as compared to sending out individual EFT emails through Microsoft Dynamics GP’s original functionality. Additionally, the clarity of communications could be maintained from their previous workflow of writing and delivering checks without adding significant time communicating the details of the new EFT transactions.
After considering the eMailer Manager, the Securities Commission decided that it would be a valuable addition to their Microsoft Dynamics GP platform and they went ahead with the installation. Today they are seeing these benefits in action.
